Legal Operations Director Software — Custom Tech for Law Firms, Built from North County San Diego

I'm PJ, in Encinitas. I build custom software and automations for Legal Ops Directors who are tired of duct-taping together Clio, iManage, and a dozen spreadsheets just to get a straight answer on matter profitability.

Questions Legal Ops Directors actually ask me

Can you integrate our practice management system with our billing and reporting tools?
Yes. Clio, Centerbase, Aderant, Elite 3E — if it has an API or a database, I can pull from it and push clean data into Power BI, Tableau, or a custom dashboard.
How do I automate matter intake without buying another $50k platform?
Most intake workflows are 80% rules. I build intake portals on top of your existing stack — conflict checks, engagement letter generation, and partner approvals all routed automatically.
Our outside counsel guidelines are ignored. Can software fix that?
Partially. I build billing validation layers that flag OCG violations before invoices hit AP. Won't fix culture, but it'll stop the leakage.
Can you build something that survives an IT security review?
Yes. I document everything, use your SSO, keep data in your tenant, and write code your team can own and audit.
What's the realistic timeline for a workflow automation build?
Small workflow (intake form → routing → doc gen): 2-3 weeks. Full matter lifecycle automation: 6-10 weeks. I don't sell 6-month discovery phases.
Do you work with firms outside San Diego?
Most of my legal clients are remote — AmLaw 200 and boutique firms across the country. San Diego is where I live, not a limit.

Six things worth knowing before your next tech build

Audit before you automate

If a workflow is broken on paper, automation just breaks it faster. Map the process first — 2 hours saves 2 months.

Own your data layer

Every vendor wants to lock your data in. Insist on exports, APIs, and a copy in your own warehouse. Non-negotiable.

Partners hate clicks

Any tool that adds more than 2 clicks to a partner's day will get abandoned. Design for the laziest user.

Reporting is the real product

Nobody remembers the intake form. Everyone remembers the dashboard that showed matter margin by practice group.

Pilot with one practice group

Don't roll firm-wide. Pick Litigation or Corporate, prove ROI in 60 days, then expand. Politically survivable.

Custom ≠ expensive

A focused custom build is often cheaper than a 3-year SaaS contract you'll outgrow. Run the math, not the demo.

PJ's note

I've worked with legal ops teams who spent a year in vendor selection for something I could've built in 6 weeks. If you're weighing a build vs. buy decision, text me. I'll give you the honest read — even if the answer is "just buy the thing."
